Data Deletion Instructions

You have the right to request that Tobix Technology delete any personal data we hold about you. Here's exactly how to do it — usually processed within 14 days.

What gets deleted

When you submit a deletion request, we permanently remove:

  • Your account, email, phone number, and password hash
  • Accommodation preferences and roommate-matching data
  • WhatsApp bot conversation history tied to your phone number
  • Course progress, quiz answers, and certificates (certificates can be re-issued on request before deletion)
  • Any uploaded files (hostel photos, ID documents, etc.)

Note: completed financial transactions are kept for 7 years to comply with Nigerian tax law (section 28 of the Federal Inland Revenue Service Establishment Act). We anonymise your identity in those records so only the transaction details remain.

Method 1 — Email (recommended)

Send an email to our data protection contact:

tobixtech@gmail.com

Include in the email:

  1. Subject line: Data Deletion Request
  2. The email address you used to register with Tobix
  3. The WhatsApp phone number you used (if you chatted with our bot)
  4. A short confirmation like: “I confirm I want my Tobix data permanently deleted.”

We'll reply within 48 hours to confirm receipt, verify your identity, and process the deletion. Full removal completes within 14 days.

Method 2 — WhatsApp bot

If you only interacted with us via the WhatsApp bot and never created a website account, you can message the bot directly:

  1. Open WhatsApp and send DELETE MY DATA to our official Tobix number
  2. The bot will ask you to confirm by replying YES DELETE
  3. Your conversation history and any linked booking data will be purged within 14 days
  4. You can also simply reply STOP to prevent all future messages (this does not delete existing data — use DELETE MY DATA for full removal)

Method 3 — Delete from your account (if logged in)

If you have a Tobix account, you can delete it yourself: log in, go to your profile settings, scroll to the bottom, and click Delete my account. You will need to confirm by typing DELETE.

This feature is rolling out progressively. If you don't see the option yet, please use Method 1.

Deleting data tied to Facebook or WhatsApp login

Tobix uses the WhatsApp Business Platform from Meta. If you want to remove data that was shared with us through WhatsApp:

  1. Follow Method 1 (email) above with your WhatsApp number
  2. Or follow Method 2 directly inside WhatsApp
  3. We will confirm deletion within 14 days and send a written confirmation
